### Research, scholarship / fellowship, and conference / travel / professional development grants

The intention to apply for any grant should be communicated well in advance of the closing date.  Please notify the [Research Grants Coordinator](mailto:Victoria.Andersen@tewhatuora.govt.nz) as early as possible of your intention to apply for a grant to discuss timeframes of when the various stages need to be completed.   

PF&O staff whose teams have an existing link with Waitemata District will use Waitemata processes (including Host Institution for grant submissions, contract and payment details).  

### Pre-award approval of research process

The following information applies to research grants and scholarships / fellowships (excludes travel grants): 

1. Research must be registered with the Research & Knowledge Centre ([Single Research Application Form - SiRAF](https://redcap-hnz.hanz.health.nz/surveys/?s=TCA8WKRJCELXWK8P)).  Once the research is registered, this will generate instructions on the next steps (see also below).
2. Grant budgets must be reviewed by Waitematā District’s Research Management Accountant.  Please read [the process for research budget review](https://research.refined.site/space/Research/48791553/Budget+and+costing).
3. Pre-Award Approval of Research form statements must be signed off by relevant Department(s) and Service(s) or at Director level.

 **Allow sufficient time prior to the grant's external closing date for approvals to be granted**.

> ℹ️ Any pre-award agreements that are written as part of a grant application need to be reviewed by the  Waitematā Legal Team.  These are then signed by the CMO for Waitematā District. The pre-award agreement will then need to be signed by the other party. Allow at least 3 weeks for this to be completed.

### Processing online grants

Most grant applications are now submitted online, and require processing by the ‘Research Office' prior to being submitted to the funder.  At Waitematā, the 'Research Office' or 'RO’ is the Research & Knowledge Centre.  There is a compliance check of all grant documents prior to submission, and the external closing date for the grant will be different to the internal closing date – to be discussed with the Grants Coordinator. 

Always check with us to determine whether the Research & Knowledge Centre or the CMO is the authoriser for online grants.  In the case of the CMO, all documents must be completed 2 weeks prior to the closing date.  

Before a grant application can be submitted to the funder, a registration number (RM or WAI), budget review, and evidence of manager approval for the research and for the budget must be obtained.  

### Commencement of research post-award

Research/audit activity cannot be undertaken until the relevant approvals have been obtained (Locality Authorisation) and HDEC or other Ethics approval gained (where required).  Locality can also include a signed agreement.  The contract will require legal review, and authorised sign-off.  In some cases the local investigator also signs (following legal review and before the authorised signatory).

### Three Harbours Health Foundation

Funds from successful research grant applications are administered through the Three Harbours Health Foundation.  This is a registered charitable trust.

### Professional development funds

Waitematā District has a competitive professional development fund available for permanent staff (excepting doctors and senior management).
