External researcher means anyone who is not <u>currently</u> employed by Health New Zealand/Te Whatu Ora -Waitematā. Medical and other healthcare students on term-time placement at Te Whatu Ora Waitematā are temporarily granted employee status.

Of note, Summer Studentships are not considered employees

All external researchers are required to sign a Te Whatu Ora Waitematā Confidentiality Agreement.

**IMPORTANT:** The manager of the department hosting the research needs to authorise, request and take responsibility for ID cards, IT access, email accounts, Health & Safety induction etc. for external researchers

**How to request an ID Card**

Te Whatu Ora Waitematā requires induction of non-employees (including COVID-19 vaccination status) prior to issuing of the ID card by Security. The host department needs to complete the form on the researcher's behalf:

- Go to the [Occ Health & Safety StaffNet site](http://staffnet/OccHealthSafety/) and click on 'Contractors' in the left-hand menu.
- Click the red link (NSH or WTH) to open a folder then click on the file **Online Induction Enrolment Form**.
- Enter the researcher's details. For 'Name of Company' choose 'Researchers' <u>not</u> 'University of Auckland' etc.
- Submit form and print the ID Card Request Form for the Operations Manager to sign.
- The researcher will be emailed enrolment details for the online induction elearning module, which is externally accessible.
- The researcher then takes their e-Learning certificate and signed ID Request Form to Security, along with photo ID.

**How to request network and Clinical Portal logins**

- If computer access is required for an external researcher, the department hosting the research takes responsibility for training and supervision of appropriate use. External researchers who require IT network access must complete the Privacy e-Learning module before accessing Te Whatu Ora - Waitematā patient information.
  The host department should log an IS Service request with healthAlliance, attach email evidence of the relevant manager's approval & include the following information:
- Researcher's name
  - Researcher's role (doctor, nurse, student, contractor etc)
  - Service and department hosting the study
  - Research project title
  - Registration RM #
  - Start and stop dates (approx) - the stop date can be extended if required by the requesting manager.
  - State specifically whether a Waitematā email address account is required, or not, for the researcher.
